The ICT Department plays a crucial role in ensuring the smooth operation and success of conferences, events, and meetings. The ICT team is responsible for managing and maintaining the technological infrastructure that supports various aspects of event planning and execution such as all the online services (registration, abstracts, and management forms including privacy and security) and event websites. Onsite, our specialists take care of all the AV set-up, presentation management, and other IT/AV-related tasks.

The Registration Department assumes a crucial role in overseeing the participant registration process for the event. Maintaining an organized and accurate database of registered participants is important. This includes updating attendee information, handling cancellations or changes, and ensuring data security and privacy. We are in direct contact with attendees, providing necessary information, and managing the process of participants signing up. We are often responsible for the seamless coordination of various logistical aspects related to accommodations and social programs to enhance the overall experience for event participants. We set up technology for online registration, registration guidelines, payment processing, and generating reports. This also involves managing payments, issuing invoices or receipts, and ensuring that financial transactions are accurately recorded.
We are also responsible for distributing conference badges, materials, and relevant information to registered participants at the event. We often serve as a point of contact for attendees, providing information about the event schedule, venue details, and any other relevant logistics. By effectively managing the registration process, we contribute to the overall success of the congress by ensuring that participants have a smooth and positive experience from the moment of registration to their attendance at the event.

The Scientific Programme Department is in direct contact with the client, especially the Scientific Committee, in order to compile the conference programme that is inspiring and able to gain potential delegates’ attention. Our programme team members are responsible for coordination of many different activities, such as abstract submission, peer review, inviting keynote speakers and chairs, creating and sending guidelines, preparation of the programme books, or applying for accreditation. Last but not least, they are in charge of managing the on-site programme at the conference venue, being the first point of contact for speakers, chairs, and assistants.
The key thing for successful programme composition is setting the timeline with deadlines for individual steps of the planning process and determination of clients’ preferences.

Its key services include serving as the main point of contact for internal and external communications, providing support for strategic decisions, marketing, and communication to members and the public, as well as supporting the management of the association. The department also coordinates diverse activities with a focus on educational and networking initiatives, promoting effective communication among members from various cultural backgrounds. Additionally, it handles daily administrative tasks such as email and phone communications, database maintenance, postal services, and accounting oversight Furthermore, the department manages online content, creates and oversees web content, and professional social networks, and contributes to technical solutions aligned with the organization’s requirements.
